Advanced Scheduling
The appointment module handles multiple booking streams effortlessly:
1. Walk-in Bookings
For patients who arrive without prior notice, click + Quick Book on the reception dashboard. It automatically selects the current time slot and moves the patient immediately to the "Checked In" queue.
2. Call-Center / Phone Bookings
For future bookings via phone, use the Calendar View to visually identify empty slots across different doctors, ensuring balanced workload distribution.
3. Online Bookings
If you have the Patient Portal enabled, patients can book online. These slots will appear in your system automatically, marked with an "Online" tag.
Appointment Status & Queue Management
Tracking the status of an appointment helps keep the waiting room organized and informs the doctor of who is outside.
- Scheduled: Future appointment booked. Patient is not yet in the hospital.
- Checked In: Patient has arrived and checked in at the front desk. A queue token is generated.
- In Progress: Patient is currently inside the doctor's cabin.
- Completed: The consultation is finished, and clinical notes have been saved.
- Cancelled/No Show: Patient did not attend or cancelled.
Rescheduling & Cancellations
If a doctor is suddenly unavailable, you can reschedule their entire day:
- Go to the Doctor's daily schedule view.
- Click the Bulk Reschedule button.
- Select the new date/doctor to move the appointments to.
- The system will automatically send an SMS to all affected patients informing them of the change.
Frequently Asked Questions (FAQ)
- How to handle double-booked slots?
- The system prevents double-booking by default. However, Receptionists with override privileges can "force-book" a patient as an Emergency Overbook, which places them at the front of the queue.
- Can I collect consultation fees during booking?
- Yes! When clicking "Check In", you will be prompted to generate the OPD bill for the consultation fee immediately before they see the doctor.
