Understanding the Ledger

Every time you receive goods from a vendor (GRN), a credit entry is posted to their ledger (money you owe them). Every time you process a Vendor Payment, a debit entry is posted (money paid).

The Vendor Ledger provides a single, unified view of:

  • Outstanding Balance: The total amount currently owed to the vendor across all unpaid POs.
  • Historical Transactions: A chronological list of every invoice received and payment dispatched.
  • Credit Notes: If goods were returned to the vendor (e.g., damaged or expired on arrival), the resulting credit notes are logged here and can be applied against future invoices.

Generating Statements

During the end-of-month reconciliation process, finance teams can export a Vendor Statement directly from the Ledger to cross-check with the supplier's own records, ensuring no discrepancies exist before finalizing tax filings.
