Step-by-Step Patient Registration
Every clinical workflow begins with registration. Capturing accurate demographic data reduces billing errors and improves patient communication.
- Navigate to the Patients list and click + New Patient in the top right corner.
- Fill out the Mandatory Fields (marked with an asterisk *):
- First and Last Name
- Date of Birth / Age
- Gender
- Primary Mobile Number (Required for SMS notifications)
- Fill out Optional Fields as needed:
- Blood Group
- Emergency Contact Name & Relation
- Primary Insurance Provider & Policy ID
- Click Save & Generate MRN. The system will auto-generate a unique Medical Record Number (MRN).
Tip: You can instantly jump into booking an appointment immediately after saving by clicking "Save & Book Appointment".
Managing Patient Records
Patient profiles hold longitudinal data. Clicking on a patient in the list opens their comprehensive profile.
Merging Duplicate Records
Sometimes receptionists accidentally register the same patient twice. To fix this:
- Select the two duplicate records from the Patients list.
- Click the Merge button on the top action bar.
- Select which MRN is the "Primary" record to keep. All historical appointments, lab results, and bills from the secondary record will be migrated to the primary one.
Patient Portal Access
Patients can access their own lab reports and prescriptions online.
- Generating Credentials: On the patient's profile, click the Generate Portal Password button. An SMS with a secure link and temporary password will be sent to their primary mobile number.
- Revoking Access: If a phone is lost or compromised, you can revoke portal access immediately from their profile settings.
Frequently Asked Questions (FAQ)
- What if a patient forgets their MRN?
- You do not need the MRN to search for a patient. The global search bar supports searching by First Name, Last Name, or Mobile Number.
- Can I register a patient without a phone number?
- By default, a mobile number is required to prevent duplicate records and enable SMS notifications. However, Administrators can make this field optional via the Settings > Registration Forms menu.
